Preparing documents for a mediation session
A short, organised record helps a mediation focus on the disagreement, the practical choices and the people authorised to make them.
Build a one-page chronology
List the important dates in order. Include the agreement, the event that led to the dispute, relevant payments, notices and any court orders. Keep opinions separate from events supported by documents.
Choose the documents that explain the issue
Bring the central agreement, relevant correspondence, account statements or property records, and current orders. An index with dates is easier to use than an unsorted collection of screenshots.
Keep originals safe and ask how copies should be shared. Check the mediator’s or institution’s arrangements for confidential material and separate-session communications.
Prepare options, not just a demand
Write down the outcome you want and the issues that matter most. Consider practical terms such as payment dates, access arrangements, documents to be signed, or the way pending proceedings will be dealt with.
For a financial dispute, use a transparent calculation and supporting records. For a family matter, practical arrangements should take account of welfare, safety and the ability to participate freely.
Confirm authority and logistics
Check who needs to attend and who can approve settlement terms. A representative may need written authority. Confirm whether the meeting is in person or online, how interpreters will be arranged if needed, and the applicable fees or institutional requirements.
Review before signing
Read every obligation, date and default clause. Check any effect on existing proceedings. If a term is unclear, obtain advice before signing. A useful document records what the parties can actually perform.
Prepare for the next step
Keep a complete copy of your records and a short chronology. If there is a live hearing, order or response deadline, mention it before arranging a discussion.
